Privacy on this website.

This page explains which personal data may be processed through this website and how to submit a question or request.

This policy covers the public iSyNAPS website. Additional privacy arrangements, a data processing agreement and security documentation may apply to a demonstration, pilot, account or separate module.

1. Who is responsible

iSyNAPS is the controller for personal data processed through this public website. Its address is Nijverheidsweg 10, 3881 LA Putten, the Netherlands, and its Dutch Chamber of Commerce number is 93111827. For privacy questions, email contact@isynaps.nl or call +31 33 202 2500.

2. Which data we process

When you use the contact form, we process the information you enter: your name, work email address, organisation, subject and message. Your phone number and municipality or public-sector organisation are optional. When you use the website, technical information such as your IP address, time of access, requested page, browser type and security logs may also be processed.

Do not send confidential project information, special-category personal data or documents through the public form.

3. Purposes and legal bases

We use your contact details to answer your question, arrange an introductory meeting and discuss possible next steps at your request. Where this is necessary to take steps at your request before entering into a contract, we rely on those pre-contractual steps as our legal basis. For general business communication and follow-up, our legitimate interest in providing a good service may be the legal basis.

Technical log data is used to keep the website available and secure, prevent misuse and investigate faults. The legal basis is our legitimate interest in a reliable and secure website. If consent is required for a separate purpose, we ask for it separately and you may withdraw it again.

4. Required and optional data

Your name, work email address, organisation, subject and message are required to submit the form and handle your enquiry. Without this information, we cannot respond through the form. Your phone number and municipality or public-sector organisation are optional. You are not required to provide more information than is necessary for your initial question.

5. Retention periods

As a general rule, a standalone contact enquiry that does not lead to further work is deleted no later than twelve months after the last substantive contact. If correspondence becomes part of a proposal, agreement, dispute or statutory records, a longer period required by law or contract may apply. Technical security logs are kept for as short a period as possible and only retained longer where needed to investigate an incident.

6. Recipients and service providers

Access is limited to employees and engaged parties who need the data for handling contact, hosting, email, website management, security or professional advice. Where required, data processing agreements are entered into with processors. Data may also be disclosed where required by law.

7. Processing outside the European Economic Area

If personal data is processed outside the European Economic Area, iSyNAPS uses a valid transfer mechanism, such as an adequacy decision or approved Standard Contractual Clauses, and assesses whether supplementary measures are required.

8. Cookies and similar technologies

The public website does not use analytics or marketing cookies. Through Cloudflare, the production environment may place the essential __cf_bm security cookie for bot detection and protection against automated misuse. WordPress may also use essential cookies in the administration or login environment for authorised administrators. Read the current technical explanation in the cookie policy.

9. Security

We take appropriate technical and organisational measures to protect personal data against loss, unauthorised access and misuse. No method is entirely without risk. Report a suspected security incident as soon as possible to contact@isynaps.nl.

10. Your rights

Where provided by law, you may request access to, correction or erasure of, restriction of processing of, or portability of your personal data. You may object to processing based on a legitimate interest and withdraw consent you have given. Send your request to contact@isynaps.nl. We may request further information to verify your identity and will normally respond within one month.

11. No automated decisions through the website

This public website does not make solely automated decisions that produce legal effects or similarly significantly affect you. Any AI support within a pilot or module falls outside this website policy and must be separately described and assessed in advance.

12. Making a complaint

If you have a complaint, please contact us first where possible. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

13. Pilots, accounts and modules

This website policy does not automatically describe every processing activity in a demonstration, pilot, portal or module. Before personal data is used in such work, the purpose, roles, data categories, retention periods, security, service providers, any AI processing and individual rights must be recorded separately.

14. Changes

We update this policy when the website, services or law change. The date above shows when the text was last updated.
