Project preparation

Pilot

Create a first project proposal with ProVI.

For project leads, PMO teams and sponsors. ProVI brings goals, risks, conditions and lessons from earlier projects into a draft that your team reviews and completes.

Do not start with scattered information or a blank template.

ProVI helps build a first project proposal, business case or plan. Open questions and risks become visible early; the project professional decides the final content.

Your organisation profile connects the work.

Goals, roles, working methods and validated knowledge provide the context for this building block. During onboarding, we agree what is needed. That profile can then grow with further applications, within the permissions agreed for your organisation.

The challenge

Important project knowledge is scattered at the outset.

Lessons remain in earlier plans, evaluations and people’s experience. Assumptions stay implicit, so open questions and risks may be discussed too late.

Scattered experience

Relevant lessons are difficult to find outside the immediate team or system.

Hidden assumptions

Planning, capacity and risks are not always assessed from the same context.

Inconsistent preparation

Templates provide structure, but do not create substantive connections by themselves.

Benefits to test

A more complete first draft, earlier in the process.

In a pilot, test whether teams produce a useful first draft sooner and discuss missing questions, assumptions and risks earlier.

More context at the outset

Bring relevant information and assumptions into the conversation earlier.

More consistent preparation

Teams work from a shared structure and terminology.

Reusable where appropriate

Lessons can be used again under agreed conditions.

Who it is for

For teams preparing a new project.

    Project leads and initiators

    Where it helps

For structuring an initial project proposal and the open questions.

  • Relevant for

    PMO and portfolio management

    Where it helps

For comparable intake information and a better conversation about conditions for starting.

    Sponsors and management

    Where it helps

For insight into assumptions, risks and decision points before commissioning.

  • Relevant for

    Projects across domains

How it works

From project question to a reviewed first draft.

You determine the input. ProVI organises the information and prepares draft wording, questions and risks; the project professional reviews and approves the document.

Frequently asked questions

Good to know before you begin

Does ProVI produce a final project plan?

No. The module supports draft content. The project professional reviews, completes and approves the final document.

Which historical project information is used?

That depends on the pilot and agreements with the participating organisation. Only use information for which the purpose, access and appropriate processing have been agreed.

Can ProVI use our own templates?

This can form part of the configuration. First, the required fields, definitions and controls are assessed.

Does ProVI predict whether a project will succeed?

No. It can support context and scenario work, but cannot remove uncertainty or decide feasibility or continuation.

What is its current status?

ProVI is offered as a pilot. Current functionality and availability are confirmed in an introductory meeting.

Next step

Which project do you want to prepare better?

Bring a project in preparation and the document you need. We will identify the information ProVI can use in a focused pilot.
